Microsoft Teams Live Captions

Microsoft Teams can provide real-time captions with speaker attribution making your meeting more inclusive.

Note: Because of limitations to the accuracy of the auto transcription/caption service, if a student requires an accommodation, it is required that a captioning service be used. Contact Student Accessibility Services to arrange/confirm captioning services for your course.

Turning Captions On and Off – Desktop

  1. Open meeting controls
  2. Choose More options (which looks like ***)
  3. Click Turn on live captions
  4. To stop using live captions, select Turn off live captions.

Turning Captions On and Off – Mobile

  1. Open meeting controls
  2. Choose More options (which looks like ***)
  3. Click Turn on live captions
  4. To stop using live captions, choose Turn off live captions.

Hide Your Identity in Meeting Captions and Transcripts

  1. Choose More options (looks like ***) next to your profile picture at the top of Teams.
  2. Select Settings.
  3. Select Captions and transcripts on the left.
  4. Select the Automatically identify me in meeting captions and transcripts toggle to turn off the option.

Note: Caption data is permanently deleted after the meeting is over.

Zoom Live Transcription

Zoom’s live transcription feature, available to Zoom Pro account holders, can automatically provide captions in Zoom meetings.

Note: Because of limitations to the accuracy of the auto transcription/caption service, if a student requires an accommodation, it is required that a captioning service be used. Contact Student Accessibility Services to arrange/confirm captioning services for your course.

Enable Closed Captions

  1. Sign into the Zoom web portal 
  2. In the left navigation panel click Settings.
  3. Click the Meeting tab.
  4. Click In Meeting (Advanced) from the left navigation.
  5. Verify that Closed Caption is enabled using the toggle to the right.
    1. If the setting is disabled, click the toggle to enable it. If a verification dialog displays, click Enable to verify the change.
  6. (Optional) Select the checkboxes and click Save to enable these features:
    • Enable live transcription service to show transcript on the side panel in-meeting
    • Allow use of caption API Token to integrate with 3rd-party Closed Captioning services
      • Note: This setting is required for captions scheduled through Student Accessibility Services for a student with an accommodation
  7. Verify that Save Captions is enabled using the toggle to the right.
    • If the setting is disabled, click the toggle to enable it.

Start Closed Captions

  1. In the Zoom meeting click Live Transcript.
  2. Select one of the following options:
    1. Copy the API token: Copy the URL to provide to a third-party closed captioning service (as provided by Student Accessibility Services).
    2. Enable Auto-Transcription: ONLY available after it is enabled in web settings (see above). The system will provide live transcription and participants will be notified that it is available.
