This is an update to the approval process for AV services requested from the Media Services/Audio Visual department at the University of Redlands given our current staffing. Effective January 1st, 2023, events that are outside of normal University operation hours, Monday – Friday, 8 am-5 pm, will need to be submitted and approved by the Media Services team a minimum of 2 months before the month the event date falls in. Event requests must have adequately supplied information for their request or subsequent follow-up by the deadline to submit. The use of “TBD” language will not be allowed to circumvent the policy and will not be considered as a complete request submission to Audio Visual.

We have provided examples of what this policy will look like in practice below for your reference.

 

Examples:

 

Desired Event Date/Time/Location/AV Requested: 3/4/23 (Saturday) – 12 pm-3 pm – Orton Center - Support for room equipment was requested

  • The event falls on a weekend.
  • Event needs to be submitted by January 2023 (no later than January 31st) for consideration and approval.

 

Desired Date/Time/Location/AV Requested: 6/1/23 (Thursday) – 4 pm-7 pm – Firepit

  • The event falls on a weekday and begins during normal business hours, but the end time falls outside normal business hours and is also outdoors.
  • The event needs to be submitted by April 2023 (no later than April 30th) for consideration and approval.

 

Desired Date/Time/Location/AV Requested: 4/3/23 (Monday) – 12 pm-5 pm – Hunsaker – Speaker needed outdoors with microphone

  • Event falls on a weekday, between normal business hours, and is outdoors.
  • The current policy for event submission via 25Live would continue to apply and the event would be approved or denied based on that policy.

 

Desired Date/Time/Location/AV Requested: 7/26/23 (Wednesday) – 2 pm-8 pm – (Redlands Room) – Presentation equipment for the space (Projector, Laptop)

  • Event falls on a weekday and begins during normal business hours, end time falls outside normal business hours, but is indoors.
  • The current policy for event submission via 25Live would continue to apply and the event would be approved or denied based on that policy.
    • Had this event required AV staff support for the duration of the event, we would need to receive the event by May 2023 (no later than May 30th) for
      consideration and approval.
